Setting up your restaurant for the first time¶
A practical guide for the restaurant owner to set up Hesaby from scratch up to the first real customer. Follow the steps in order and check off each one as you finish it.
1) The first account (the owner) and staff¶
The first account created is the owner account — this is the one with all permissions. After that, from Admin panel → Staff, add the rest of your team by name and role.
When you add each staff member, you enter a PIN manually (from 4 to 6 digits). This PIN: - Is permanent and not generated randomly — you choose it and hand it to the staff member privately. - Can be reset at any time from the same screen (useful if it's leaked or the staff member forgets it). - Is stored hashed on the server, so no one can read it — including you.
🔒 Security: creating admin / owner accounts is exclusive to the owner only. If a manager tries to add an admin account, they'll get a permissions error (403).

2) Screen codes (admin and kitchen)¶
From Admin panel → Settings → Security, set the admin screen code and the kitchen screen code. These codes lock the shared devices and are also stored hashed.
⚠️ Warning: change any default code before going live. Don't leave a device running with an easy or well-known code.
3) Launch checklist¶
Set up the rest of the system using these articles: - Menu: add categories, items, prices, and modifiers. - Tables: add tables and generate QR codes. - Staff: make sure each person has a role and a PIN. - Security: review the codes and permissions. - Printing: set up the receipt/kitchen printer.
💡 Tip: the card payment path (QNB/MPGS) is currently still in test mode, so try cash and QR payment before opening, and rely on card only for testing.
